2026 Ancillary Meeting Program
Professional Meeting Space in Conjunction with the NANETS Annual Multidisciplinary NET Medical Symposium
The Ancillary Meeting Program provides sponsors and approved organizations with the opportunity to host private events during the NANETS Symposium. This operational resource outlines the guidelines, eligibility requirements, and application process to ensure a seamless experience for all participants.

Eligibility
The NANETS Ancillary Meeting Program is available to eligible organizations wishing to host professional meetings in conjunction with the 2026 NANETS Annual Multidisciplinary NET Medical Symposium. Participation is available by application and approval only.

Symposium Sponsors
Confirmed 2026 Symposium Sponsors are eligible to apply for ancillary meeting space.

Nonprofit Organizations
Approved nonprofit and patient advocacy organizations may request meeting space.

Society Partners
Select society partners and affiliated organizations may be considered for participation.

Other Approved Organizations
Organizations that support the educational mission of the Symposium may be approved by NANETS on a case-by-case basis.
Please Note: Organizations that are not confirmed Symposium sponsors may still be considered for ancillary meeting space if their proposed meeting aligns with the educational mission of the Symposium and receives prior approval from NANETS.
Morning Half-Day
6:00 AM – 11:30 AM
Reserve meeting space for the morning portion of the day.
Full-Day Rental
6:00 AM – 5:30 PM
Includes both the Morning Half-Day and Afternoon Half-Day rental periods, providing uninterrupted access throughout the daytime.
Rental Options
Room Transition
A 30-minute transition period is reserved between the Morning Half-Day, Afternoon Half-Day and Evening rental periods to allow the hotel to prepare meeting rooms for the next scheduled group. Organizations reserving a Full-Day Rental or Full-Day + Evening have uninterrupted access and are not affected by this transition period.
Ancillary meeting space is available in a variety of rental options designed to accommodate different meeting types and schedules. Organizations reserve meeting space for the selected rental period and may utilize the room in accordance with the Ancillary Meeting Program Guidelines.
Afternoon Half-Day
12:00 PM – 5:30 PM
Reserve meeting space for the afternoon portion of the day.
Full-Day + Evening
6:00 AM – 9:30 PM
Provides exclusive access to the meeting room for the entire day, including the Evening Rental period. On Thursday through Saturday, the Evening Rental period is the designated time for formal advisory boards and other organized multi-participant meetings in accordance with the Ancillary Meeting Program Guidelines.
Evening Rental
6:00 PM – 9:30 PM
Reserve meeting space during the evening hours following Symposium activities.
Pricing
Rental fees are based on the selected rental option and meeting day. Pricing includes the meeting room rental through NANETS. Organizations are responsible for coordinating and contracting directly with the JW Marriott Las Vegas Resort & Spa for all food and beverage, audiovisual, internet, labor, and other venue-related services.

Wednesday offers the greatest scheduling flexibility, as no official Symposium programming is scheduled. Organizations may conduct formal meetings throughout the day in accordance with the Ancillary Meeting Program Guidelines.

Protected Programming in Effect
Rental periods are available throughout the day. Formal advisory boards and other organized multi-participant meetings must comply with the Ancillary Meeting Program Guidelines regarding protected Symposium programming and industry-sponsored satellite symposia.

What's Included
Rental fees include the use of meeting space during the selected rental period. Meeting organizers are responsible for arranging and contracting directly with the JW Marriott Las Vegas Resort & Spa for: Food & Beverage; Audiovisual Services; Internet; Room Sets; Labor; Electrical; Shipping & Receiving; Any additional venue-related services.
Planning Considerations
To assist organizations in selecting the rental option that best meets their meeting objectives, please review the following planning considerations regarding Symposium scheduling and NANETS leadership availability.

Wednesday – Premium Access Day
Wednesday offers the greatest flexibility for formal advisory boards and other organized meetings, as no official Symposium programming is scheduled.
Organizations planning to invite NANETS leadership should be aware of the following standing organizational commitments:
4:00 PM – 6:00 PM – NANETS Industry Partner Meetings (Officers and many members of the Board of Directors)
6:00 PM – 7:00 PM – NANETS Officers Debrief Meeting (NANETS Officers)
While members of the Board of Directors may determine their own availability, NANETS Officers will be unavailable during these scheduled meetings.

Thursday–Saturday – Symposium Days
During the Symposium, the Morning Half-Day and Afternoon Half-Day rental periods overlap with official NANETS educational programming and industry-sponsored satellite symposia.
Organizations renting meeting space during these periods may continue to utilize their assigned rooms; however, formal advisory boards and other organized multi-participant meetings must comply with the Ancillary Meeting Program Guidelines regarding protected Symposium programming.
These daytime rental periods are best suited for internal company meetings, planning sessions, one-on-one discussions, and other approved meeting activities.

Please note: NANETS has a full Board meeting at 6pm on Saturday evening that our leaderhip will be attending.Â
Planning Reminder: All session times are listed in Pacific Standard Time (PST). Symposium programming takes precedence during all rental periods. Please refer to the Ancillary Meeting Program Guidelines for complete availability details.
Meeting Approval & Room Assignment
Each Ancillary Meeting Application is reviewed individually by NANETS to ensure the requested meeting aligns with the goals of the Ancillary Meeting Program and that the assigned meeting space appropriately supports the proposed meeting. Applications are reviewed based on the meeting purpose, expected attendance, room setup requirements, and available inventory.
Meeting Room Assignment
Meeting organizers request a rental option, not a specific meeting room. Space is assigned by NANETS following review of each application and is based on:
• Meeting purpose
• Expected attendance
• Preferred room configuration
• Operational requirements
• Available meeting room inventory
While every effort will be made to accommodate preferences, specific meeting rooms cannot be guaranteed.

Please Note:
During Thursday through Saturday, formal organized meetings may only be conducted during the designated meeting periods outlined in the Ancillary Meeting Program Guidelines. Internal meetings and other approved activities may continue throughout the reserved rental period.
Application Process
The Ancillary Meeting Program follows a simple application and approval process designed to ensure each organization is assigned the meeting space best suited to its needs while supporting the overall success of the Symposium.

Complete the online Ancillary Meeting Application and provide details about your organization, meeting type, preferred rental option, attendance, and meeting requirements.

NANETS reviews each request to ensure the proposed meeting aligns with the Ancillary Meeting Program Guidelines and to determine the most appropriate meeting space.

Meeting space is assigned based on meeting purpose, attendance, room setup requirements, and available inventory. Applicants request a rental option, not a specific meeting room.
Room Assignment

Invoice & Confirmation
Once approved, organizations receive a meeting confirmation, assigned meeting room, and invoice. Meeting space is confirmed upon receipt of payment.

Following confirmation, NANETS introduces the meeting organizer to the JW Marriott Event Planning Team to coordinate F&B, AV services, internet, room setup, and other logistics.

Planning Ahead
Because meeting space is limited and applications are reviewed individually, organizations are encouraged to submit their requests as early as possible. Early submission provides the greatest opportunity to accommodate preferred rental periods and meeting requirements.
Ancillary Meeting Application
Submit your request for ancillary meeting space. Applications are reviewed in the order received and considered based on meeting requirements, available inventory, and alignment with the Ancillary Meeting Program Guidelines. Submission of an application does not guarantee meeting space or a specific rental period.
